“The public tenders team, management, sales: we all got hands-on with Tengo. Today, we can’t even imagine working without it.”
Daniel Pereira, Head of Development
The problem
Monitoring dumped in bulk, with no sorting by expertise
All the potential tenders arrived mixed together in a single list, with no match to how the firm is organized. Energy, IT, security: at every monitoring session, the team had to re-sort manually to route each file to the right person.
Two hours to review the new tenders
To decide which tenders deserved a Go, you had to open each set of tender specifications, go through the documents and manually piece together the useful information: subject, value, deadlines, technical requirements. A sorting session easily took 2 hours, and that time did not turn into revenue. The tender channel was treated as an administrative chore.
No clear coordination between areas of expertise
With three businesses (energy, IT, security) and two roles (AMO, project management), each file had to land quickly with the right person, with a traceable Go/No-Go and an explicit assignment. Without a shared pipeline, decisions stayed informal and the memory of the tender channel faded week after week.
What Tengo changed
Monitoring split by area of expertise, driven by the teams
The teams structured their monitoring into dedicated feeds: one per area of expertise (energy, IT, security), then refined by type (works, services, supplies) and by department where the business requires it. Project management, for example, is only worked on within geographic proximity. Each sales rep configures their own feeds as the firm’s activity evolves, without depending on a single administrator.
“Before, it was much vaguer, it arrived in bulk. Now we’ve been able to create energy and security sub-folders matching our businesses, and sort everything that way. It’s perfect.”
Daniel Pereira, Head of Development
No more undifferentiated tender channel. Each business sees its own opportunities, without the noise of the others.
An AI summary sheet that divides analysis time by 6
Tengo analyzes each part of the tender specifications in detail and returns the key elements in a summary sheet: subject, value, deadlines, technical requirements, points to watch. The sorting sessions that used to take 2 hours now take 20 minutes.
“Where it used to take me 2 hours to go through all the tenders, I did it all in 20 minutes with the summary sheet. It’s maybe the best number.”
Daniel Pereira, Head of Development
A shared pipeline to decide, assign and trace
Each tender marked “to analyze” enters a pipeline visible to the whole team. Files are assigned to the right person, the Go/No-Go is set in two clicks, and exchanges happen directly on the platform rather than by email. Award notices also feed back into Tengo: who won, at what value, on which territory, new material to adjust the response strategy on upcoming tenders.
“The go/no-go is quite simple, it really lets you know. What’s also cool is that you can assign the file to someone, and leave messages directly on Tengo. It makes the work a lot easier.”
Daniel Pereira, Head of Development
And a domino effect on commercial activity
The time saved on monitoring did not disappear: it was reinvested in the firm’s commercial activity. E-CONEX responded to about 50 tenders a year before Tengo. That figure rose to more than 70 a year, and the sales reps who aren’t tied up writing a technical proposal spend more time in the field, in meetings with public buyers.
“We reallocated the time saved to responding to more tenders, or going to meetings, being more in the field. It freed up time.”
Daniel Pereira, Head of Development
On the business side, the result is tangible: +20% revenue won on public tenders, an order of magnitude that Daniel Pereira considers consistent with the number of additional contracts handled over the year.
The time saved on monitoring funded a more active tender channel and rising revenue.
Key benefits
- Monitoring split by real expertise. Each business sees its opportunities without the noise of the others.
- A Go/No-Go decision six times faster. The summary sheet replaced the manual reading of the tender specifications for the first sort.
- A tender channel managed as a team. Shared pipeline, assigned files, traced exchanges on the platform.
- Sales time given back to the business. More tenders handled, more meetings with buyers.
Tengo features users value most
- Feeds configurable by business and by department: each area of expertise has its own channel, adjusted by the sales reps themselves.
- The AI summary sheet of the tender specifications: subject, value, deadlines and points to watch available at a glance.
